Keeping a clear understanding with our customer and other stakeholders about the services we provide and adjusting when you find inconsistencies.

1. Discuss how you reach a common understanding of the requirements with the requirements provider
Definition
Externally we receive executed contract from the client and prepare a Contract Review Checklist in line with QP 7 - Contract Review.  This review is sent out to all departments to see if they have any questions or concerns about the contract and to ensure the scope of the contact is defined, UNDERSTOOD, and documented

2. Describe how you achieve commitment to the requirements by the people on your project team
Definition
We achieve commitment to the requirements on the project by completely a Business Solutions OnBoard Checklist to initiate on Boarding procedure.  PM's also schedule  a kick-off meeting to reach a common understanding of the requirement.  Attending is HCM, CA, ADmin, IT anF&A and BD.    Operational on onboarding issues are discussed in this meeting and resolved.  This process follows QP10 - Business Solutions

 3. Describe how requirements changes are handled in particular, how impact analyses are conducted
Definition
Requirement changes such as contract modifications are handled via QP 7 - Contract Review.   CA initates the initial analysis and if there's no impact to requirements, CA will approve.  If there is a modication that has a Funding, staffing or requirement changes, then CA will initiate a review with stakeholder to determine impact.  Results are logged into Contract Administration Tracking Log.

4. Discuss how bi-directional traceablity is established and maintained
Definition

Is the association among two logical entities that is discernable in either direction.

 

 

Bi-directional traceability is established and maintained through the monthly F&A Employee Staffing Report to maps the positions approved to the personnel assigned and tracks vacancies.  We also conduct annual contract Requrements review determines whether we are meeting the customers requirements.

5. Discuss how inconsistencies between requirements and other work products are identified and resolved.
Definition
Inconsistencies identified through the Contract Requirement Review conducted annually on our project.   A corrective Action  Request will be initiated and submitted to QA to document discrepanices or inconsistencies between PMP and Contract or if any contract requirement is not being met or additional services have been identified.  (QP 16 Corrective Action Procedure)
